Parker United Athletics (“Parker United,” “we,” “us,” or “our”) operates the Parker United app and the parkerunited.com website (together, the “Services”). This Privacy Policy explains what information we collect, how we use it, and the choices you have. By creating an account or using the Services, you agree to the practices described here.
Parker United is a Colorado nonprofit youth multi-sport club. Our Services are designed to be used by parents, legal guardians, coaches, and club administrators. The Services are not intended for direct use by children under 13. Parents and guardians provide information about their minor children for the purpose of registration, team operations, and participation in club activities.
1. Information We Collect
Account and Profile Information
When you create an account, register a player, or volunteer as a coach, we collect information that may include:
- Parent or guardian details: First and last name, email address, phone number, and mailing address.
- Player details (provided by parent or guardian): First and last name, date of birth, gender (optional), grade or school, jersey size, position preference, medical or allergy notes you choose to share, and emergency contact details.
- Coach and administrator details: Name, email, phone, role (head coach, assistant, team manager, board member), background check status, and SafeSport or coaching certifications where applicable.
- Login credentials: Username, password (stored encrypted), and account preferences.
Payment and Financial Information
When you pay registration fees, purchase team gear, or process a sponsorship contribution, our payment processor (Stripe) collects your payment card details, billing address, and transaction history. We do not store full payment card numbers on our servers. We retain payment metadata such as amount, date, transaction ID, and the registration or order it applies to.
For sponsors and vendors, we may also collect business name, contact person, tax identification information where required, and sponsorship agreement records.
Location and Photo Information
- Location data: With your permission, the app may use device location to support features such as field check-ins, finding nearby practices or games, and confirming attendance at club events. You can disable location access at any time in your device settings.
- Photos and media: Coaches, administrators, and authorized parents may upload team photos, action shots, and event images. These may include images of minors who are registered with the club. Photos are visible to families on the same team or to club administrators, depending on the sharing setting.
- Photo metadata: Some uploaded photos may include embedded metadata such as date, time, and GPS coordinates. We do not strip this metadata automatically, so be aware before uploading.
Usage and Device Information
We automatically collect technical information when you use the Services, including device type and model, operating system and version, browser type, IP address, app version, pages or screens visited, features used, crash logs, and approximate location derived from IP address. This information helps us keep the Services running, debug issues, and improve performance.
Communications
When you contact us, respond to a survey, or communicate with coaches and administrators through the app, we collect the content of those messages along with metadata such as sender, recipient, and timestamp.
2. How We Use Your Information
We use the information we collect for the following purposes:
- Operate the club: Process registrations, assign players to teams, manage rosters, coordinate practices and games, and run club programs.
- Process payments: Charge registration fees, process refunds, manage sponsorships, and maintain financial records as a 501(c)(3) nonprofit.
- Communicate with you: Send schedule updates, cancellation notices, team announcements, club newsletters, and administrative messages from coaches and staff.
- Safety and compliance: Verify identity, prevent fraud, enforce our terms, comply with SafeSport and Colorado Soccer Association requirements, and maintain background check records for coaches.
- Improve the Services: Understand how the Services are used, fix bugs, add features, and make the app more reliable.
- Legal and regulatory: Comply with tax filings, audits, insurance requirements, legal process, and regulations that apply to youth sports organizations.
3. How We Share Information
We do not sell your personal information. We share information only in the following circumstances:
- Within the club: Coaches, team managers, and administrators receive roster information, contact details, emergency contacts, and medical or allergy notes for the players on their assigned teams. This is necessary to run practices, games, and tournaments safely.
- Service providers: We share information with service providers who help us operate the Services. These include Stripe (payments), our cloud hosting and database providers, email and SMS delivery services, and analytics tools. These providers are bound by contract to handle data only for the purposes we specify.
- Sport governing bodies and leagues: We share required information with the Colorado Soccer Association (CSA), US Youth Soccer, USA Volleyball Rocky Mountain Region (RMR), tournament organizers, and similar governing bodies as needed to register teams, submit rosters, and verify eligibility.
- Emergencies: If a player is injured, we may share medical or contact information with emergency responders and the player’s listed emergency contacts.
- Legal requirements: We may disclose information if required by law, subpoena, court order, or to protect the rights, property, or safety of Parker United, our members, or the public.
- Business transfers: If Parker United merges with, is acquired by, or transfers operations to another organization (for example, a successor nonprofit), information may be transferred as part of that transaction.
4. Children’s Privacy
The Services are designed for use by adults (parents, guardians, coaches, and administrators), not by children. We do not knowingly allow children under 13 to create accounts or use the Services directly.
Parents and legal guardians provide information about their minor children to register them for club activities. By submitting information about a minor, the parent or guardian represents that they have the authority to do so and consents to our collection and use of that information for the purposes described in this policy.
If you believe a child under 13 has created an account or submitted information without parental consent, please contact us at the address below and we will delete the account and associated information promptly.
Parents and guardians can review, update, or request deletion of their child’s information at any time by contacting us.
5. Your Choices and Rights
Account Information
You can review and update most of your account information directly within the app. You can also contact us to request changes you cannot make yourself.
Communications
You can opt out of marketing emails and newsletters using the unsubscribe link in those messages. We will still send transactional and operational messages (registration confirmations, schedule changes, safety notices) as long as you have an active account.
Location and Photos
You control location permissions through your device settings. You can ask a coach or administrator to remove a specific photo of your child from team galleries. You can also opt out of photo sharing during registration.
Access, Correction, and Deletion
You can request a copy of the personal information we hold about you or your child, correct inaccurate information, or ask us to delete information we no longer need. We will respond within a reasonable time and may need to verify your identity before acting on the request. Some information (such as financial records and roster history) must be retained to meet legal, accounting, and league requirements.
Colorado Privacy Rights
If you are a Colorado resident, the Colorado Privacy Act gives you rights to access, correct, delete, and obtain a portable copy of your personal data, and to opt out of certain processing. Contact us using the information below to exercise these rights.
6. Data Retention
We keep your information for as long as your account is active and as long as needed to provide the Services, comply with our legal and tax obligations, resolve disputes, and enforce our agreements. Player rosters, registration records, financial records, and coach background check records are retained according to the requirements of the IRS, the State of Colorado, CSA, and our insurers. When information is no longer needed, we delete or anonymize it.
7. Security
We use reasonable administrative, technical, and physical safeguards to protect your information, including encryption in transit, access controls, and limiting employee and volunteer access to information on a need-to-know basis. No system is completely secure, and we cannot guarantee absolute security. If we learn of a breach that affects your information, we will notify you as required by law.
8. Third-Party Services
The app and website may link to third-party services such as Stripe checkout pages, league websites, tournament registration platforms, social media, and mapping services. Those services have their own privacy policies, and we are not responsible for their practices. Review their policies before sharing information with them.
9. Cookies and Similar Technologies
The website uses cookies and similar technologies to keep you signed in, remember your preferences, measure traffic, and improve the user experience. You can control cookies through your browser settings. Disabling cookies may affect how the Services work.
10. Changes to This Policy
We may update this Privacy Policy from time to time. When we make material changes, we will update the “Last Updated” date at the top of this policy and notify you through the app, by email, or by posting a notice on parkerunited.com. Your continued use of the Services after the changes take effect means you accept the updated policy.
